This official feed from the Google Workspace team provides essential information about new features and improvements for Google Workspace customers.


What’s changing 
Organizations who have configured private IP Looker Core instances can now enable Connected Sheets for their teams, bringing easier analysis and sharing capabilities to their users. Now, users who were previously restricted from using Connected Sheets due to Private IP controls on their Looker instances will be able to leverage powerful and intuitive spreadsheet capabilities to better understand and analyze their Looker data.


Getting started 
  • Admins: Looker Connected Sheets must be enabled by an admin before it works. Visit the Help Center to learn more about enabling Connected Sheets for Looker
  • End users: This feature will be available by default as configured by your admin. To connect to Looker Private IP instances, just copy your instance ID in Looker and use it to connect in Sheets via Data > Data Connectors > Connect to Looker. What’s changing 
Last year we introduced conditional notifications in Google Sheets, which allow users to create custom rules in spreadsheets that send email notifications when certain criteria are met. Now we are expanding rule limits for conditional notifications from 10 to 20 rules per spreadsheet. For example, users can choose to be notified when a given task’s status changes or when they are added as an assignee. By expanding the rule limit per spreadsheet, users can take advantage of the feature more frequently and for a wider range of use cases. 



Users can customize up to 20 rules that outline the criteria for when an email is sent 


When rule conditions are met, recipients will receive emails informing them of the change

  • Admins: This feature will be on by default. There is no admin control for this feature. 
  • End users: This feature will be available by default. To use it, go to Google Sheets > Tools > Conditional Notifications and configure up to 20 new rules. Use our Help Center to learn more about using conditional notifications

What’s changing 
Earlier this year, we made it easier to generate charts and insights using Gemini in Google Sheets. Building on that momentum, we’re excited to announce a significant enhancement to formula generation in Gemini for Sheets. Specifically, we've upgraded Gemini to include detailed natural language formula explanations, provide formula error explanation and self-correction, and to output multiple formula options. 

With these updates, Gemini can provide a full, reasoned response, making formula generation smarter and more resilient, and helping users to understand the formulas and calculations happening in their sheets. 

1. Detailed natural language formula explanations: 
Complex formulas can now be returned with step-by-step explanations of how they work. This improves user understanding and builds trust, making it easier to learn and adapt formulas for future use. If Gemini doesn’t provide an explanation as part of the response, you can always ask in your next query how the generated formula works. 




2. Error explanation and self-correction: 
Gemini can now explain why a formula failed (e.g., "the date in A1 is formatted as text") and, in a follow-up turn, use the error message to generate a corrected formula that solves the underlying issue. 



3. Multiple formula options: 
For more complex tasks or when there are several ways to achieve a result, Gemini can now provide multiple formulas.

  • Admins: To access Gemini in Workspace apps, users need to have smart features and personalization turned on. Admins can turn on the personalization setting for their users in the Admin console. 
  • End users: You can access Gemini for Sheets in the side panel by clicking on “Ask Gemini” (spark button) in the top right corner of Sheets. Visit the Help Center to learn more about collaborating with Gemini in Sheets.

What’s changing 
Earlier this year, we announced AI function in Sheets. You can use the AI function to prompt Gemini to generate text, summarize information, categorize data, or analyze sentiment at scale with generated content appearing directly in the cells you choose. Now, AI function is available to users in Spanish, Portuguese, Japanese, Korean, French, Italian, and German.

What’s changing 
We are introducing a new condensed view for version history in Google Sheets. By default, Sheets will now only show rows with cells that had changes in the selected version. The condensed version history will help users identify relevant edits to the sheet more quickly and efficiently.

Version history is a tool which can help users recover information, understand changes, or see who made a specific edit to a spreadsheet. To return to the previous version history experience, where the entire sheet is displayed and the cells with changes are highlighted, simply select the checkbox to “Show unmodified rows”. Note: some embedded objects, like images, may not display when the condensed view is on.

Sheets with no changes made in the selected revision will automatically hide all rows, unless the setting is unselected.

What’s changing 
Building on the introduction of intelligent suggestions for table conversion, we’re now using Gemini to make tables in Sheets even more useful. Now, when you accept a “Convert to table” suggestion, Gemini will automatically format your data as a table and create a meaningful table name (e.g., Project_Status).

Tables help organize your data, simplifying common tasks like sorting and filtering. They also enable the use of table references, which use the table's meaningful name in place of cell coordinates. For example, a formula like =SUM(E2:E15) becomes the more descriptive =SUM(Office_Expenses[Amount]). These names are not only easier to read and understand, but they are also easier to write, appearing in formula autocomplete suggestions as you type. 

Crucially, table references are dynamic. The formula's range automatically expands and contracts as you add or remove rows from your table, ensuring your calculations are always up to date and accurate, without you ever needing to manually edit cell ranges again.

What’s changing 
ServiceNow, a platform that helps unite people, processes, and systems with AI-powered products for all of their workflows, is now integrated with Google Chat and Sheets. 

With the ServiceNow and Google Chat integration, users are now able to interact directly with ServiceNow's Virtual Agent within Google Chat. They can use natural language to resolve issues, get things done, get fast and automated help and support, and seamlessly transition to a live support agent without ever leaving the chat window. With the ServiceNow and Google Sheets integration, users can bypass manual file downloads and uploads and export data from ServiceNow directly into Sheets. In addition to streamlining the data export process, this new functionality enhances data accessibility and enables users to leverage Sheets’ powerful data management and visualization features.

What’s changing 
=ISURL() and =ISEMAIL() are two Google Sheets functions that check whether a value is a valid URL or email address, respectively. To ensure more domains and email addresses are properly recognized by these functions, we’re improving the way they are evaluated. Moving forward, properly formatted email addresses and URLs will more accurately return TRUE when passed through =ISEMAIL() or =ISURL(). 

Additional details 
This change, once fully rolled out, will impact both new uses of these functions as well as existing uses of these functions.

Currently, when you’re using the Gemini app, you can use Gems, custom AI experts that can help you complete specific goals, tasks, and workflows based on your input. You can also take advantage of pre-made Gems as well, like writing editor, coding partner, sales pitch ideator, and more. 

Today, we’re bringing the power of Gems directly into the side panel of Google Docs, Slides, Sheets, Drive, and Gmail.

Gems can help you further leverage the power of Gemini in a way that’s customized to your needs more efficiently by minimizing repetitive prompting. You can now take advantage of Gems directly from the side panel of several Google Workspace apps. This includes your custom Gems or pre-made gems. Without needing to switch between applications, you can use Gems in the side panel to:

  • Leverage a copywriting Gem to create posts and content tailored to your target audience, pre-loaded into the Gem.
  • Create a Gem that helps with sales interactions that is grounded on information for a specific company, prospect, or industry. 
  • Leverage an "assistant gem" tailored to your job role to help provide more relevant summaries for you and content for internal communications.
  • Leverage a Gem designed to help pressure test content from a certain persona (e.x C-Suite or CEO) to help you create the most compelling message.

Additional details
If you don't see a Gem that meets your needs, or want to customize a Gem for a specific task, you can create your own at gemini.google.com/gems/create. Both custom and premade Gems will appear in the side panel across all supported Workspace applications, and can leverage many Workspace capabilities including @ mentioning, accessing files and folders in your corpus, and more. Currently, you can utilize Gemini in Google Sheets to generate charts and valuable insights, and today we’re excited to bring AI directly into the cells of your spreadsheet with the power of AI function. 

From a cell, you can now input a specific prompt describing what you would like to do and an optional data range, and Gemini can do the following: 
  • Use relevant information from your spreadsheet to generate text that is tailored to your specific data. 
  • Summarize information by analyzing the content of your spreadsheet and highlighting the most important parts, so you can quickly understand your data. 
  • Categorize your data into meaningful groups, so you can easily detect patterns, such as user sentiment. ai functions in sheets

Here are some examples of how you’d use this feature: 
  • Text generation: 
    • =AI(“Write a formal ad copy for the product. Cater copy to the objective and target audience”, A2:C2
    • =AI("Create an email to the reviewer addressing specific items in their reviews.", A2:G2
  • Summarization: 
    • =AI("For the customer, write a one sentence summary of their feedback.", A2:D2
    • =AI("You are the owner of a pet sitting business. Write a 2 sentence summary for the customer about their pet’s last stay. Be a little funny.", F2
  • Categorization: 
    • =AI("Categorize the customer inquiry as a compliment, exchange request, or return request.",C2
    • =AI("Perform sentiment analysis on the emails sent by the customers to the barbershop.", C2)
If you want to refer to two ranges that aren’t contiguous, you can use concatenation in the prompt. Here are a few examples: 
  • =AI("Write a review of the hot sauce "&A2&" using only the ingredients "&D2&" and the popularity "&E2&".", A2:D2
  • =AI("Find the major themes in the customer feedback of "&B2&" using the rating "&C2&" and comments: "&D2&".")

Why you’d use it 
Now you can create hundreds of rows of data quickly to do things like categorize user feedback requests or write personalized emails, all without being an expert in data or spreadsheets. Regardless of your data needs, with instant access to Gemini from any cell in your Sheet, the Al function helps you get work done faster. 

Additional details 
  • We currently support text-based responses for text generation, summarization, categorization, and sentiment analysis queries. While the input information is optional, we recommend using it for optimal results. 
  • After generating, if an explicitly referenced cell or the prompt is updated, the cell shows an out-of-sync state, and keeps the previous output for reference. 
  • To refresh a cell, you can select one or multiple cells and press “refresh and insert.” 
  • You can select multiple cells with AI functions and generate outputs; however, only the first 200 selected cells with AI functions will be generated. You can wait for the generation to complete and select more cells to generate outputs.

Improving the file upload experience on Android and iOS devices

  • The progress bar that tells you how many items are uploading and how long it will take. 
  • The Upload Tab where you can see all pending or recently completed uploads.

    What’s changing
    Earlier this year, we introduced the ability for Gemini to provide insights and generate charts based on your data in Google Sheets. At that time, the generated charts could only be inserted as static images over cells in a spreadsheet. Starting today, Gemini can produce fully editable charts that regenerate if the spreadsheet data changes. 

    To create a chart, click Gemini in Sheets and type in a prompt, such as “create a chart with date on the x-axis and total on the y-axis.” Gemini will produce a chart in the side panel of Sheets, and once you insert it, the chart will appear on a new tab. There, you’ll be able to edit all aspects of the chart, including title, colors, and more. 
    Generate fully editable charts using Gemini in Google Sheets

    Why you’d use it 
    This functionality enables users to generate editable charts using Gemini in Sheets. For example: 
    • A marketing manager analyzing campaign performance can ask "Create a bar chart showing campaign performance by market.” 
    • A small business owner managing cash flow can ask "Create a line graph with my annual projects each month this year.” 
    • A financial analyst investigating inventory trends can ask "create a pie chart showing the inventory amount breakdown from the past year.” 
    Additional details 
    • Generated charts are tied to the data in the newly created tab, not to the originally analyzed data. Any changes you want to make to the data in the chart should be made in the new tab. 
    • For the most accurate results, ensure your data is in a consistent format, with clear headers and no missing values. 
    • When asking Gemini in Sheets to analyze your data, be as specific as possible in your prompts to ensure Gemini understands your request. 
    • For complex analysis, Gemini in Sheets’ performance is most consistent in files below 1 million cells. 
    • For certain chart types, Gemini in Sheets may still produce charts as images. Image charts are not directly editable or linked to your Sheet data, so they won't update automatically if your data changes.

    Scan documents easier using Google Drive on Android devices

    Chat apps can now create spaces with their own identity using the Google Chat API
    Last year, we introduced a feature through the Google Workspace Developer Preview Program that enables Chat apps to create spaces and memberships - using application identity - via the Google Chat API. This update further enhances Chat apps for real-time collaboration and allows for even more sophisticated and autonomous Chat apps by eliminating the need to create spaces and memberships on behalf of a user.     Users can collaborate with Gemini in Google Drive to perform various tasks, such as extracting data, drafting proposals, creating study guides and more. We’re excited to build upon this by giving users the ability to convert Gemini’s response directly into a Sheet or a Doc.     Create even more interactive YouTube assignments in Google Classroom
    In 2024, we added AI-suggested questions that educators can easily attach to the video based on its content to save educators time. Today, we’re excited to announce that we’re expanding the collection of YouTube videos that have AI-suggested questions available. As a result, educators can create even more interactive YouTube assignments in Classroom more quickly and efficiently, with the help of Gemini. Before assigning the interactive video activity, educators will be able to edit the suggested questions ahead of attaching the YouTube video to the assignment. | Rollout to Rapid Release and Scheduled Release domains is complete. | Available for Google Workspace Education Plus and the Teaching and Learning add-on. | Visit the Help Center to learn more about interactive questions for YouTube videos in Google Classroom.

    Your users can now express interest in upgrading their Google Workspace subscription 
    We’re introducing a simple way for Workspace end users to request an upgraded edition of Google Workspace from their admins. To send this request, Workspace end users will see a path to request an upgraded Workspace edition including additional Gemini features when they interact with Gemini, such as with the Gemini icon displayed across Workspace apps. This interaction will provide an end user a path to complete a request form for an upgraded Workspace edition. Super admins will receive this request by email, and from there they can choose to upgrade their Workspace subscription directly in the Admin console. | Admins can disable these requests at any time in the Admin console by going to Account > Account Settings > Gemini for Google Workspace, and deselecting the ‘User-requested upgrades’ setting — use this article in our Help Center for more information. | Please note this is only available for customers in the US and India with fewer than 300 licenses. | Rolling out now to Rapid Release and Scheduled Release domains. | Learn more about Gemini for Workspace, including our recent Gemini for Workspace announcements.

    Earlier this year, we launched Google Workspace apps (formerly known as "extensions") in Gemini in open beta. When enabled, Gemini can reference and incorporate data from these apps to generate even more informed and relevant responses, bringing Gemini’s capabilities more seamlessly into your daily workflows, helping enhance productivity.     Extract and categorize data in AppSheet with the power of Gemini 
    At Google Cloud Next 2025, we introduced Gemini in AppSheet solutions for AppSheet Enterprise Plus users. Now you can automatically extract key information from uploaded photos, parse through complex PDFs, or even categorize, route and prioritize incoming requests based on their content – all seamlessly within your existing AppSheet apps.     Upcoming Changes to Microsoft Exchange Migrations 
    Beginning May 31, 2025, the legacy Data Migration Service will no longer support migrating email, calendar, and contact data from Microsoft Exchange on-premises servers (e.g., Exchange 2010, 2013, or 2016). Admins will not be able to start new migrations after May 31, 2025 – migrations that are in progress will continue until completion. | Learn more about changes to Microsoft Exchange Migrations.
