This is a real photo from Merge today. Their company knowledge used to be spread everywhere, so questions led nowhere. As a startup, that wouldn't work. So, here’s how they fixed it. Sure, it might be normal for new hires to take a whole week to learn the tool stack, or have engineers ask the same questions at every standup. Or maybe sales reps to ping for docs that were just shared. Yeah, well, the team at Merge didn’t want it to be 𝘵𝘩𝘦𝘪𝘳 normal. 𝗦𝘁𝗲𝗽 𝟭: 𝗙𝗶𝗴𝘂𝗿𝗲 𝗼𝘂𝘁 𝘄𝗵𝗮𝘁 𝘀𝗵𝗼𝘂𝗹𝗱 𝗮𝗰𝘁𝘂𝗮𝗹𝗹𝘆 𝗹𝗶𝘃𝗲 𝘄𝗵𝗲𝗿𝗲 Any AI is only as good as the context you give it, so the first challenge is obvious. First, they connected Notion to the tools they use most—Salesforce and Slack. Then one lead from Project Jarvis, their internal AI enablement initiative, put together guidance on what types of content work best with Notion AI. It included things like suggesting level of detail, how to include meeting transcripts, and how to set up databases. 𝗦𝘁𝗲𝗽 𝟮: 𝗚𝗲𝘁 𝘁𝗲𝗮𝗺𝘀 𝘁𝗼 𝗮𝗰𝘁𝘂𝗮𝗹𝗹𝘆 𝗮𝗱𝗱 𝗶𝗺𝗽𝗼𝗿𝘁𝗮𝗻𝘁 𝘀𝘁𝘂𝗳𝗳 With that framework in place, each team started adding the information they reference constantly. 𝘛𝘩𝘪𝘴 𝘭𝘰𝘰𝘬𝘦𝘥 𝘭𝘪𝘬𝘦:  - Marketing created a content calendar to track production. - Sales built an enablement hub with decks, battlecards, and meeting notes from weekly GTM calls. - Recruiting documented in-depth hiring plans for every open role. 𝗦𝘁𝗲𝗽 𝟯: 𝗦𝗵𝗼𝘄 𝗽𝗲𝗼𝗽𝗹𝗲 𝗵𝗼𝘄 𝘁𝗼 𝘂𝘀𝗲 𝗶𝘁 Next, they had to train people to actually use Notion AI instead of defaulting to pinging someone on Slack. There were demos in all-hands, sales enablement calls, and R&D meetings. Their team leads also started building an "AI Prompt Library"—a database where people share prompts that work well for specific use cases. 𝗦𝘁𝗲𝗽 𝟰: 𝗧𝗿𝗮𝗰𝗸 𝘄𝗵𝗮𝘁’𝘀 𝘄𝗼𝗿𝗸𝗶𝗻𝗴 (𝗮𝗻𝗱 𝘄𝗵𝗮𝘁 𝗶𝘀𝗻’𝘁) Once people started using Notion AI regularly, they saw the impact pretty quickly. 𝘈 𝘧𝘦𝘸 𝘦𝘹𝘢𝘮𝘱𝘭𝘦𝘴: - CSMs can check when integration improvements will ship without having to ping engineers. - In a glance, engineering leaders can see how open ticket progress, recurring issues, and bottlenecks. - Sales reps can find relevant case studies in seconds. Each team member saved hours every week they’d otherwise spend looking for information. It’s changed the way they worked at Merge. Hopefully, it’ll do the same for you.
